The Daily Shift Report

Who gets the daily report, when it's sent, and how per-location and company-wide recipients work.

Every day at the time you choose, Timed emails a Daily Shift Report covering that day's clock activity — scheduled vs actual times, who was late, who didn't clock in, who's on leave. The report is grouped by location, with a row per scheduled employee.

The send time is based on your company's timezone, not the server's. A company in Africa/Johannesburg set to 23:59 gets its report at 23:59 SAST.

Who receives it

Recipients are decided by role and by location manager assignments — not by a loose email list:

Role / link What they receive
owner Full company-wide report — every location, every employee.
manager-owner Same as owner — full company-wide report.
field-manager assigned to one or more locations One email covering only the locations they manage.
manager / hr / any role assigned as a location manager One email covering only their assigned locations.
field-manager NOT assigned to any location Nothing — they need to be a manager of at least one location to get a report.
Anyone picked under Daily shift summary in Settings The full company-wide report, same as an owner.

The grouping is designed so:

  • A user who's both an owner and a branch manager gets one company-wide email, not two.
  • A user who manages three locations gets one email covering all three, not three separate emails.
  • Someone who qualifies in more than one way only ever gets one report — the broadest scope wins.

Setting the send time and adding recipients

In Settings → Notifications:

  1. Send daily report at — the time in your company's timezone, e.g. 23:59 for end-of-day or 06:00 for next morning.
  2. Daily shift summary — use the role filter to find users, tick them, and click Save Settings. They'll be on the next day's report.

To make someone a branch manager or field manager for a location, open the location (Locations → click the row) and add them under Managers.

What's in the report

For each location, one row per scheduled employee with:

  • Payroll number
  • Name
  • Scheduled in / out
  • Actual in / out (or "Still In" if they haven't clocked out yet, or "Auto Clocked Out" if Timed closed the record — see Auto clock-out)
  • Expected hours
  • Worked hours
  • Late minutes (if any, beyond the grace period)
  • Status — Clocked In, Clocked Out, Auto Clocked Out, On Leave (Annual), No Data, or a suffix such as Clocked Out - Late (12 min)

Employees not scheduled to work that day are left out — the report compares attendance against the schedule, rather than listing everyone in the company.

Troubleshooting

Symptom Likely cause
Nobody in the company got the report No recipients matched. Check that at least one owner or manager-owner exists, OR at least one user is a location manager, OR a user is picked under Daily shift summary.
One field manager isn't getting it They aren't a manager of any location. Add them under the location's Managers.
Got two copies of the report This shouldn't happen. Contact Timed support and we'll look into it.
Report arrived at the wrong time The send time uses your company's timezone. Double-check the Timezone field in Settings.
Empty report for a company with active staff Either nobody was scheduled that day (the report skips unscheduled people), or no shift is set up for that day of the week.

If you'd like a test copy of the report sent, or something doesn't add up, contact Timed support.
