What Timed syncs with SimplePay time and attendance

If you run payroll on SimplePay, Timed links your employees to SimplePay by payroll number and brings in their leave every night. Here's exactly what the integration does, and what it doesn't.

What syncs with SimplePay

  • Employees are linked by payroll number. When you click Import Employees, Timed reads the employee list from SimplePay and links each Timed employee whose payroll number matches the SimplePay employee number.
  • Leave is imported every night at 21:00. Timed brings in leave recorded in SimplePay for the current month: the employee, leave type, start and end dates, number of days and status. Leave that is cancelled or deleted in SimplePay is removed from Timed on the next nightly import.

Each import updates the leave records Timed already knows about rather than creating duplicates, so if leave is extended or changed in SimplePay, Timed picks it up the next night. Read importing leave.

What doesn't sync

Being clear about this saves surprises at month-end:

  • Hours are not sent to SimplePay. SimplePay's public API doesn't accept hours pushed back in, so Timed can't push payroll hours to SimplePay.
  • New employees aren't created from SimplePay. Employees without a matching payroll number are skipped, so add them in Timed first, then import.

If sending approved hours straight into payroll matters to you, Timed does that with PaySpace.

Why the leave import still matters

With SimplePay leave in Timed, nobody has to capture leave twice, and the attendance side knows who's away:

  • The daily shift report shows employees on approved leave as on leave, instead of flagging them as missing.
  • Late clock-in alerts skip employees on approved leave, so managers don't get false "not clocked in" emails.
  • Each employee's leave shows on their page in Timed.

Setting it up

  1. Open Integrations → Payroll Settings, choose SimplePay as the vendor, and enter your SimplePay API key and company ID.
  2. Click Test Connection to check that Timed can sign in.
  3. Make sure each employee's payroll number in Timed matches their SimplePay employee number.
  4. Click Import Employees to link them.

Leave appears after the next nightly import. The Sync Dashboard shows the latest sync times, how many employees are linked, and any errors. See payroll integrations.

Frequently asked questions

Does Timed send hours to SimplePay?

No. SimplePay's public API doesn't accept hours pushed back in, so Timed links employees and imports leave, but doesn't push hours to SimplePay.

How often is SimplePay leave imported?

Every night at 21:00, for the current month. If you need an earlier month imported, Timed support can run it for you.

Why are some employees' leave records missing?

Usually because the payroll number in Timed doesn't match the SimplePay employee number. Check for leading zeros, spaces or different prefixes.

Does Timed create employees from SimplePay?

No. Employees without a matching payroll number are skipped, so add them in Timed first and then import to link them.
