What comes in from PaySpace
Once you've connected PaySpace under Payroll Settings and tested the connection, Timed can import:
- Companies, with the PaySpace component codes for each one.
- Employees. Timed links existing employees whose payroll number matches the PaySpace employee number, and creates the ones that aren't in Timed yet.
- Pay periods, so Timed knows the cut-off dates for each run.
- Leave applications for the current month, with their status, every night at 21:00. Approvals, rejections and cancellations in PaySpace show up in Timed.
- Incidents, if you switch it on, imported every night at 21:30 as disciplinary records.
With employee changes switched on, linked employees are updated from PaySpace every night at 21:20. That nightly update never creates new employees. Read payroll integrations and importing leave.
Approved hours go back to PaySpace
Hours are prepared on the Payroll Runs page:
- Open the pay period and calculate the entries from Timed's clock data.
- Review each employee's totals, grouped by component code: normal hours, overtime at 1.5× and 2×, unpaid leave, paid leave and public holidays.
- Approve the run.
- Do a dry run to see exactly what would be sent.
- Push the approved hours into the PaySpace pay period.
Live pushing is off until you switch it on, so you can calculate, approve and dry-run as often as you like without writing anything to PaySpace. Hours can't be pushed into a period that's already closed in PaySpace.
Clean hours before they reach payroll
The hours you send are only as good as the clock records behind them. Before a pay run, Timed has already:
- flagged late and missing clock-ins to the managers of each location (late clock-in alerts),
- closed records for people who forgot to clock out (auto clock-out), and
- sent variances to a supervisor and a manager to approve or correct (approving variances).
Because PaySpace leave is imported nightly, employees on approved leave are shown as on leave in the daily shift report and don't trigger "not clocked in" alerts.
Documents to PaySpace
If you store employee documents in Timed, such as FICA documents and contracts, you can push selected ones to PaySpace. See employee documents.
Frequently asked questions
Does Timed send hours to PaySpace?
Yes. Approved hours from a Timed payroll run are sent into the PaySpace pay period, after a dry run you can check. Live pushing has to be switched on in Payroll Settings first.
How are Timed employees matched to PaySpace employees?
By payroll number. The Timed payroll number must match the PaySpace employee number exactly, including leading zeros and prefixes.
Does leave from PaySpace show in Timed?
Yes. Leave applications for the current month are imported every night at 21:00, with their status, so changes made in PaySpace are reflected in Timed.
Will the nightly sync add new employees to Timed?
No. The nightly update only changes employees that are already linked. New employees are created when you click Import Employees.
Does Timed also work with SimplePay?
